I think the board room should work kind of like a massive room with retractible walls, kind of like a stadium with a retractible dome. However in the case of the board room, instead of the ceiling retracting, the walls retract.

So with this in mind, perhaps the Glukkens simply come to the room and stand on their platforms and perhaps Molluck's platform is sort of like a rising platform coming from his personal office. Then Molluck's Slig advisor simply throws a switch and the walls of the boardroom retract inwards so that the execs can have their meeting in privacy.

That to me seems logically the most realistic mechanics of the Board Room. In my own opinion I would make it that way. However I am not Lorne Lanning so this is not my story. Mainly what I am saying is that all of your theories and I am talking about everybody who posted in this thread, can be right or wrong. We just don't know about the mechanics of the board room. But in all honesty I don't think from a stories point of view that things such as this is very important in terms of plot and story development. However its nice to talk about it. I think that the board room should never be explained to keep the story moving and to keep it simple. Some things should remain a mystery and should be interpreted differently by everybody like what we are doing right now on these forums.
